“Just this once” is how it starts.

Katie Rhodes spent years helping small business owners get their finances in order. She'd clean up messy books, set up accounting systems, and teach clients how to maintain their newfound financial clarity.
But in 2023, she realized she'd been ignoring a problem in her own business.
Rhodes ran Coal Creek Ledgers, a bookkeeping firm in Colorado. Her clients loved working with her. She was responsive, thorough, and always willing to help. Maybe a little too willing.
A client would email asking for a “quick look” at something outside their monthly package. Rhodes would do it. Another would request an extra report that wasn't in the scope. She'd send it over. Small favors that added up to hours of unbilled work every week.
She knew it was happening. She kept doing it anyway.
The turning point came at the 2023 BKX Conference. Rhodes attended a session on client boundaries. Nothing revolutionary was said. But hearing another professional talk openly about scope creep made something click.
She wasn't being kind. She was being inconsistent.
Back home, Rhodes pulled up her client agreements. The language was vague. Deliverables were loosely defined. There was no process for handling out-of-scope requests. She'd built a system that made it easy for clients to ask for more. More insidiously: a system that made it easy for her to say yes without thinking.
So she rebuilt it.
Rhodes rewrote her contracts to specify exactly what each engagement included. She created a process for new requests:
Assess the work
Provide a quote
Get approval before starting
Most importantly, she reframed boundaries in her own mind. Setting limits wasn't a character flaw or a sign of being difficult. It was professional service delivery.
The results weren't dramatic. No revenue explosion or client exodus. But client misunderstandings dropped. Her workload became more predictable. And the low-grade stress of constantly absorbing unbilled work disappeared.
Rhodes's story illustrates something most entrepreneurs resist accepting: boundaries don't damage client relationships. Lack of boundaries do.
When you're unclear about what's included, clients make assumptions. When you accept those instructions, you teach your clients how to treat you.

Intent to Action
Most scope creep happens because founders never defined the scope clearly in the first place. You can't protect boundaries you haven't set.
Here's a system for preventing scope creep before it starts, and handling it when it shows up anyway.
Before the contract: Get specific
Vague agreements create vague expectations. “Website redesign” means different things to different people. Does it include copywriting? SEO optimization? Three rounds of revisions or unlimited?
Your proposal should answer three questions:
What exactly will be delivered?
What's explicitly not included?
How will additional requests be handled?
Example language: “This package includes: [specific deliverables]. Additional requests outside this scope will be quoted separately at $X per hour with a 48-hour turnaround for estimates.”
The “not included” section matters more than you’d think. Stating what's out of scope prevents the “I thought that was part of it” conversation later.
After signing: Create a change request process
When a client asks for something outside the original scope, don't immediately say yes or no. Run it through a filter:
Acknowledge the request: “Got it, let me take a look at what that would involve.”
Assess the work: Is this 15 minutes or 3 hours? Does it require new skills or tools? Is the client making a habit of asking for these requests?
Respond with options:
If it's truly minor (under 15 minutes), do it and document that you did
If it's substantial, send a brief quote: “Happy to add this. It'll be $X and take Y days. Should I proceed?”
Scripts for common situations
Client asks “can you also handle [new thing]?”
Response: I can definitely help with that. It's outside our current scope, so I'll send over a quick quote by end of day. Sound good?
Client assumes something is included
Response: I want to make sure we're aligned. [Task] isn't part of the current package, but I can add it for $X. Or we can tackle it in the next phase. What works better for you?
Client pushes back on boundaries
Response: I totally understand wanting to keep costs down. The reason I quote separately for [task] is so you're never surprised by bills, and I can give each request the time it deserves. Would you like me to send over the breakdown?
To be clear, these scripts aren't rejections. You're offering a clear path forward instead of absorbing work (thus, resentment) silently or creating awkward confrontation.
24-hour implementation
Right now, open your standard contract or proposal template. Add these three sections:
Deliverables (be boringly specific)
Out of scope (list at least 3 things you won't do)
Change request process (your version of assess, quote, approve)
Then draft your go-to response for out-of-scope requests. Save it somewhere you can copy-paste when needed.
The first time you use these scripts, it'll feel uncomfortable. The tenth time, it'll feel professional. By the twentieth, you won’t even flinch.
